We process personal data and must comply with the legislation and principles of good data processing practice. That is why we have adopted this privacy policy, which briefly explains how we process personal data that ensures legal and transparent processing. We only process personal data for explicit and factual purposes and based on the organisation’s legitimate interests. We only process personal information that is relevant and necessary to fulfil stated objectives, and we delete your data when it is no longer needed - or when you ask us to do so.

PROCESSING OF PERSONAL INFORMATION
We process the following personal information.
Information about co-organizers:
General personal and contact information: name, address, telephone number, e-mail.
CVR numbers or CPR numbers (used for invoicing only)
Information about volunteers:
General personal and contact information: name, telephone number, e-mail.
If applicable, information on criminal offences (e.g. child certificate)
Possibly information about positions of trust and other duties concerning the organisation
HERE WE COLLECT THE INFORMATION FROM
Usually, we get information from you, but in some cases, it may be from other sources, e.g.:
Public authorities - e.g. necessary tax information when invoicing or paying fees
Social media or other channels that are publicly available
PURPOSE OF TALK TOWNS TO COLLECT YOUR INFORMATION
We process your personal data for specific purposes when we have a legal reason (legal basis). Legal grounds to process information about you are:
That we as an organisation have a (legitimate) interest in processing your information
That we must fulfil an agreement with you
That the law requires that we process your information
That you have given consent for us to process your information
The purposes of processing information about the co-organizers are:
That we can charge fees, send invoices and newsletters.
That we can run the organisation’s activities, including planning, implementing and following up on them
To comply with legislation, including requirements of the Service Act.
To be able to deliver goods and services that the co-organizers have ordered.
To manage the relationship with the organisation.
The purposes of processing information about the organisation’s volunteers are:
That we can coordinate and handle volunteers' tasks in the organisation
That we have an overview of and can develop, the volunteers' experiences and competencies - including offering courses and competency development, for example
To comply with legislation, including requirements in the Service Act - e.g. the need to obtain a child certificate for volunteers (and others) who work with children under 15 years of age.
To be able to pay transport and travel allowance, reimbursement and the like
To manage the volunteers' relationship with the organisation.
WE PROCESS PERSONAL INFORMATION ONLY FROM LEGITIMATE INTERESTS
To the extent that we process information about the co-organizers, this is done solely based on the organisation’s legitimate and legitimate interests, which are:
That the co-organizers can fulfil their obligations as co-organizers, including paying a fee, etc.
To be able to plan and hold social events and activities for the co-organizers
To be able to show situation pictures from concrete activity or event in the organisation.
To preserve information of historical value for statistics and the like.
CONSENT
When we process information about you, it often happens on a legal basis other than your consent. We therefore only obtain your consent when, in rare cases, it is necessary to process your personal data for the purposes described above. If we receive your consent, it is voluntary if you want to give consent, and you can withdraw it at any time by notifying us. When we collect personal information about children and young people under 15, we make an assessment of whether the child can provide the personal data in question. If not, we obtain the consent of a parent/guardian. If we collect personal information about children via information services (apps and social media), children from the age of 13 can give their own consent.
DISCLOSURE OF YOUR PERSONAL INFORMATION
We do not pass on information about you to others outside the organisation - for example, for marketing purposes - without your consent.
STORING AND DELETING YOUR PERSONAL INFORMATION
We have different processing purposes and retention periods depending on whether we process your personal information as a co-organiser, partner, volunteer or web user. Co-organizers: We will delete information about you six months after the collaboration has ended. Volunteers: We delete information about you six months after your volunteer work has completed. We store information (in anonymised form) on co-organizers, volunteers and web users for statistics and the like.
YOUR RIGHTS
When we process your information, you have some rights following the Personal Data Ordinance:
Right to be informed that we process information about you - which is what we tell you about in this privacy policy (as an organisation we must provide information)
Right to access the information we process about you (right of access)
Right to have incorrect information about you corrected (right to rectification)
Right to have information about you deleted (right to be forgotten)
Right to object to the use of your information for marketing purposes
Right to move your information - i.e. that we must provide the information we have about you in a commonly used format (the right to data portability)
You can make use of your rights, including objecting to our treatment, by contacting us. You will find contact information at the top here in the privacy policy. Suppose you contact us with a request to have your personal data corrected or deleted. In that case, we will investigate whether the conditions are met and if so, implement changes or deletion as soon as possible.
OPPORTUNITIES
You can lodge a complaint with the supervisory authority - the Danish Data Protection Agency - about the processing of your personal data.
REVISION OF PRIVACY POLICY
We reserve the right to change the organisation’s privacy policy. When we change the Privacy Policy, we also change the date at the bottom of this document. In the event of significant changes, you, who are still part of the database, will be notified. The privacy policy in force at any time is available on our website.
